Using ParentHQ
Terms of Service
These terms explain the agreement between you and ParentHQ, including subscriptions, cancellation, family data and third-party services.
1. The trader and your contract
ParentHQ is operated by Shaun Heatherington trading as ParentHQ, a UK sole trader. When you create an account or buy a paid ParentHQ plan, your contract is with that operator trading as ParentHQ.

2. Eligibility and household authority
You must be at least 18 to create and control a ParentHQ account. ParentHQ is designed for adults organising family life, not for children to create their own accounts.
You are responsible for having appropriate authority to add information about children or other household members, invite adults to a household, connect a mailbox, and share content with ParentHQ.
3. What ParentHQ provides
ParentHQ is a family-organisation service that can help with Tasks, Events, routines, reminders, family sharing, Connected/Smart Inbox, Discover, Watch and related planning features. Features vary by plan and may evolve over time.
ParentHQ is an organisational tool. It is not medical, legal, financial, emergency or safeguarding advice. You remain responsible for checking important dates, bookings, instructions and decisions.
4. Free, Family and Family+
ParentHQ offers a Free plan and paid household plans such as Family and Family+. Paid plans may be offered monthly or annually. The exact price, billing interval, included features and any taxes are shown before you confirm payment and form part of your contract.
A paid plan is for the household rather than a separate subscription for every adult. Unless stated otherwise at checkout, paid subscriptions renew automatically at the selected interval until cancelled.
5. Payment and Stripe
Payments are processed by Stripe. You authorise Stripe and ParentHQ to charge the payment method you provide for the subscription and applicable renewals. Stripe may provide invoices, receipts and a customer portal for managing payment methods and subscription settings.
If a payment fails, ParentHQ may retry collection and may provide a temporary grace period. The current billing design provides a fixed 7-day grace period after a qualifying failed renewal. A payment failure does not by itself cause ParentHQ to delete your family data.
6. Plan changes
Where available, you can change plans or billing intervals through ParentHQ or the Stripe customer portal. An upgrade may take effect immediately and may create a prorated charge or credit. A downgrade or switch to a shorter billing interval may be scheduled for the end of the current paid period. The confirmation screen will show when the change takes effect.
7. Cancellation, cooling-off and refunds
Stopping future renewals
You can cancel a paid subscription through the billing controls made available by ParentHQ/Stripe. Unless a statutory right requires a different result, cancellation normally stops the next renewal and paid access continues until the end of the current billing period.
14-day statutory cancellation right
If you are a UK consumer entering a distance contract, you may have a statutory right to cancel within 14 days without giving a reason. If you ask ParentHQ to start providing paid services immediately during that cancellation period and then exercise the statutory right, we may charge a proportionate amount for services already supplied where the law allows.
To exercise a statutory cooling-off right rather than simply stopping the next renewal, email support@parenthq.app and clearly say that you are cancelling within the statutory cooling-off period. Your mandatory consumer rights are not limited by these terms.
Other refunds
Outside statutory rights or an express refund promise shown at checkout, we do not automatically provide pro-rata refunds for an unused part of a billing period. We will correct duplicate or erroneous charges and comply with all refund rights required by law.
8. Connected Inbox, uploads and AI
Connecting Gmail or Outlook is optional. ParentHQ uses the permissions and review flow described in the app and Privacy Policy. You must only connect accounts and submit content you are authorised to use.
AI-generated interpretations and suggestions can be incomplete or wrong. ParentHQ is designed to put AI-assisted additions behind review/approval rather than silently making irreversible family decisions. You should verify important extracted dates, locations, requirements and actions before relying on them.
9. Discover, Watch and third-party information
Discover and Watch can surface information from venues, organisers, public/open sources and other third parties. ParentHQ aims to avoid fabricated events or showtimes, but third-party availability, prices, opening times, booking conditions and content can change. Always check the organiser/provider before travelling, booking or paying.
A link to a third-party service does not make ParentHQ the provider of that third-party service. Separate terms and privacy policies may apply when you leave ParentHQ.
10. Acceptable use
You must not misuse ParentHQ. In particular, do not:
- attempt to access another household without permission;
- upload or connect content you have no right to use;
- probe, attack, overload or bypass ParentHQ security;
- use ParentHQ for unlawful, abusive or fraudulent activity; or
- use automated methods to extract or republish substantial parts of the service except where we expressly permit it.
11. Availability and changes
We use reasonable care to keep ParentHQ available and reliable, but continuous uninterrupted availability is not guaranteed. We may maintain, fix, secure, improve, replace or retire features. If a material change significantly affects a paid service, we will give appropriate notice and respect any rights you have under consumer law.
12. Intellectual property
ParentHQ's software, branding, design and original service content belong to the ParentHQ operator or relevant licensors. You keep ownership of content you submit. You give ParentHQ the limited permission needed to host, process and display that content solely to provide, secure and improve the service as described in these terms and the Privacy Policy.
13. Ending or restricting access
You can stop using ParentHQ at any time. We may restrict or suspend access where reasonably necessary for security, serious misuse, legal compliance or unpaid paid-plan charges. Where practical, we will give notice and a reasonable opportunity to resolve the problem.
Ending a paid subscription does not mean we automatically erase all household information. Data handling after cancellation is governed by the Privacy Policy and your deletion choices/rights.
14. Our responsibility to consumers
Nothing in these terms excludes or limits rights that cannot lawfully be excluded, including your rights under UK consumer law. We do not exclude liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or other liability that the law does not allow us to exclude.
Subject to those protections, ParentHQ is responsible for losses that are a foreseeable result of our breach of these terms or failure to use reasonable care and skill. ParentHQ is intended for personal/family use and is not responsible for business losses such as lost profit, revenue or business opportunity.
15. Governing law and disputes
These terms are governed by the law of England and Wales, without removing any mandatory consumer protection that applies where you live. If you are a consumer elsewhere in the UK, you may also be entitled to bring proceedings in the courts of the part of the UK where you live.

16. Changes to these terms
We may update these terms for legal, security, provider or product reasons. We will give appropriate notice before a material change takes effect where required. Changes will not remove rights you have already acquired under mandatory law.
